Studio Operations Assistant

The Studio Operations Assistant will help with the daily upkeep of the studio and provide minor maintenance and other support functions for our Kelowna Studio.

The ideal candidate is extremely personable, outgoing and energetic, thorough in their communications, detailed in their execution, versatile in their approach, and creative in their problem-solving. This individual will need to be an independent worker and thinker with the flexibility, willingness and ability to get things done in a high quality and timely manner. Your role will help us instill a positive company culture and environment for the team.

As an entry-level position with the potential to grow further in the studio, you will learn the behind-the-scenes happenings of an animation studio.


What you will be doing:

  • Manage the reception area, direct visitors, accept packages, and coordinate with external contractors
  • Ensure the kitchens, communal areas, and washrooms are tidy, clean and fully stocked
  • Handle general administrative tasks such as creating and updating internal documents and databases in Drive, inventory tracking, posting to our internal social media, photocopying and scanning
  • Perform hands-on studio operations tasks such as moving furniture, building desks, carrying supplies etc
  • Assist with meetings and screenings as required, including room set-up, co-ordinating and serving food; providing flexible support if needed
  • Contribute to the creation of effective and imaginative studio signage
  • Continually look at the studio with a critical eye for organization, cleanliness and décor improvements
  • Involvement in the Social Committee; scheduling and organizing successful staff events, production milestones, birthdays, seasonal events, dress-up days and holidays
  • Partner with the Studio Manager on studio operations, projects, purchasing, production support, and all other duties as assigned.


What you will bring with you:

  • Valid BC Driver’s licence and reliable means of transportation (used for work on occasion)
  • Customer service experience required: supporting team & clients with consideration, respect and a sense of humour
  • Excellent interpersonal and communication skills (listening, written and verbal)
  • Capability to collaborate is a must – interaction is with the entire team including the remote production teams
  • Superior time management for yourself and for others – to support scheduling and track deadlines
  • Extremely organized, detail oriented and analytical; good with numbers and measurements
  • A self-starter who can work independently and thrive with little supervision, while appreciating guidance, open communication and a mentoring relationship with the Manager  
  • Technology savvy, with a good level of proficiency in computer applications, specifically G-Suite (Gmail, Google Drive, Docs Calendar etc), Word, Excel, and PowerPoint
  • Proficient with office equipment such printers and video conferencing
  • Proven track record of a “can-do” attitude; reliable to handle mundane tasks and willing to take on increasing responsibilities, grow and learn
  • Succeeds in a transparent work environment; receiving and giving honest, constructive feedback
  • Strong work ethic and ability to work flexible hours / do what is necessary to get the job done
  •  Ability to bend, lift and occasionally carry items up to 30 lbs.


Extra points if you have:

  • 2-4 years professional work experience in a fast-paced environment
  • Working knowledge of Adobe Photoshop, Jira, Visio
  • Knowledge of computer hardware and trouble-shooting (just in case!)
  • Experience in the television/film production business, preferably in a studio
  • A Passion for animation
  • Green thumb and Plant care
